The next DotT will be on the 9th September 2006.
We will be meeting in the Hotel Bar at 2pm. The hotel does have events happening that day so we will be unable to look in all the function rooms but some should be available.

After a brief look round the hotel (there was one function going on but most of the rooms could be seen) some discussion followed about how to use of the space. The two big issues were how to minimise the effects of noise and what to do with dead space (i.e. Wigston 2).
The general conclusions were:
- During the convention, the partitions will be in place as its unlikely we will need the entire function space as one area. Anything requiring that much space can be outside.
- Wigston 1(the largest room) will have the stage against the outside wall so reduce noise pollution and allow people to enter and exit at the rear of the audience. This will also create space at the far end of the room for storage of non-valuable, bulky items.
- Oadby (2nd largest room, adjacent to the Wigston 1) will be best for workshop style programme items that require an area to spread out (e.g. chaos costuming, lego building).
- Wigston 2 is a walkthrough area from the bar to the function rooms and will be used as a Fannish Living Room. We will get some sofas and set up some bookshelves for book-crossing library. Ideal space for programme items such as listening to the Archers.
- Knighton (medium sized, 30 - 50 people) has solid walls so will be the best room for discussion based items.
- Leicester is a small (approx 15 people) room open for any use.
How to organise the programme was discussed particularly the best forum to discuss programme items, e.g. LJ, email lists or other. Max is looking into how to convert LJ posts into emails.
Some form of table or grid for the programme needs to be set up on the wiki. Plus a check a list that programme items need to consider, e.g. will it be noisy, does it need any money.
Sales of T-shirts and badges have been very good so are target break even point is 100 people. That would cover the cost of the hotel and other basics like insurance but would not cover any budget for the progamme. If we sell out (150 members) we should have a programme budget of over £1500.
We need new / updated posters with the con dates and location on them for FantasyCon and Novacon. We also need adverts that people can use in their fanzine or on their web sites.
Chris needs to confirm that the hotel is set up to take room bookings.

1) The Programme and the Hotel
Now that you've seen the hotel, what thoughts about programme does it inspire?
2) How To Organise the Programme
We have lots of ideas and a hotel with lots of function space. How do we organise things on LJ and the Wiki.
3) More Members Needed
We need 124 fully paid up members to pay for the hotel. We currently have about 35.
4) Date (and venue?) of the next DotT
5) A Walk in the Park
A look around the large park next door to the hotel.
6) Information Gathering
It would be useful to have photos online of the hotel and function rooms to aid with planning. Similarly it would be useful to start documenting directions to the hotel and the location of nearby shops, cash points and so on.
