[edit] Write Up

Thank you Meike, Kay, Jim, Max, Tobes, Jane, and John for coming along. It was a very good meeting and a lot of ideas came out of it.

Publicity Publicity at Novacon and the ZZ9 AGM were sorted out. The Tun was discussed along with the idea of having different flyers each month to keep attracting people's interest. For longer term publicity, Jess is to check our arrangements for mutual advertising with Confounding Tales whilst Kay is to check with ZZ9, Sproutlore and BSFA. Chris to look into online places to advertise on LJ, Vox, MySpace and the like. For Redemption, Meike, Chris, Jess and Jane are definitely attending. Meike is to book a dealers table whilst Chris arranges running a programme item. If there is a relaxacon style Eastercon rescue con, Year of the Teledu should offer to run a programme item.

Read Me and Programme Book. A general discussion about what we want from these publications and how do we do it in a Teledu style followed. General consensus was that people need a quick overview of the programme that they can stuff in their pockets and carry around with them. John volunteered to do the Read Me. The idea of a Programme Book as a souvenir was seen as pointless but there was a need at the con to access the information on the Wiki about each programme item such as its description and who was running it. The idea of the 'Wiki on the Wall' in the Fannish Living room was born. All the relevant pages from the Wiki to be printed out and stuck on the wall. This can become a general notice area for last minute changes to the programme and other useful information.

Gophers The accepted wisdom was that Teledu didn't need Gophers as we expect everyone to chip in with moving chairs and the like if asked. The idea of the Anti-Gopher badge was born for those who for whatever reason don't want to asked. Its a sort of note from your Mum excusing you from PE.

Ops There was some discussion about what Ops actually does and the consensus that it mainly acts as contact point for anyone with a problem and repository for the Lost & Found and similar. This evolved into a discussion about who mans it, how do we organise shifts and what do we do about the role of Duty Committee Member (DCM). The plan is to have an Ops in either the hotel guests' small business centre (it's just next to the Leicester room) or the Leicester room. It will not be manned at specific times but the Officers and others are likely to be in & out of it regularly. Additionally on the door will be a telephone number of a mobile phone on which you can get hold of one of the Officers. Chris to look into a cheap, Pay-As-You-Go phone that the Officers can use.

First Aiders Like the Gophers, its hoped that anyone with First Aid abilities will chip in should the need arise. Jess plans First Aider badges for anyone who lets her know they are trained and will sort out a First Aid kit. Chris to check with the hotel about their First Aid set-up. There was also mention of a Zombie / First Aid cross over workshop.

Tech Ops Similar to the First Aiders but it will require more organisation as equipment needs to be set up and looked after. We need a volunteer to run this side of things so please step forward if you are interested.

Security Not a major concern given the small nature of the con and the enclosed nature of the function space. Everyone needs to just keep their eyes open.

Green Room Not needed. The person organising each programme item is responsible for getting the right people to the right place at the right time. Supplying drinks for panelists is part of the role of a green room and it was decided that it didn't fit in the Teledu ethos to do this. This also saves the convention money.

[edit] Agenda

The next meeting will be at 2pm, in the Brewery Tap, a rather fine public house, Peterborough.

The main theme for the next DotT will be focus on the traditional convention trappings such as Programme Books and with each of them we have three simple questions:

1) What role do they fulfill at a normal convention?

2) What role do we think they should fulfill at Teledu?

3) Do you care enough about this to get involved and make it happen?

Convention Trappings:

  • Publications / Membership Packs
    • Programme Book
    • Read Me
    • Badges
  • Operations
    • Tech Ops
    • Gophers
    • Secure Store
    • Con Security
    • Green Room
    • Ops Room
    • First Aid

Other items for discussion:

Publicity - Advertising for forth coming conventions, events and publications.
