[edit] Write Up
Thanks to Kay for hosting DotT and providing the fine cake.
Thanks to Doug, Judith, Mark, Claire, Meike, Jim, Ian and Kathy for attending.
[edit] Hotel
Selecting the hotel was the main point of discussion.
After a brief recap of the details of the short-listed hotels, the main focus was on The Stage hotel as it was the Officers' preferred hotel. Key to the discussion was the price of £3000 for the function rooms. This price was received late on Friday night and the Officers had no chance to discuss the price with the hotel manger so there might be some room for movement.
The con is budgeted so that with 114 full members it can afford to pay £3000 for the hotel plus approx £1000 for insurance, PA and non-discretionary spending. However it leaves next-to-nothing to be spent on the programme. At the 150 member cut off point we have significantly more to spend on the programme (£35 * 36).
The £3000 would get the convention a lot of function space so debate focused on whether we can use all of it. If the space was too large or not practicable then there was no point spending the £3000.
Several key points came out of the discussion. People quickly came up with ideas on how to use the space, including the awkward areas caused by the temporary walls and the general consensus was that we would have no problem using the space. Also discussed was that not all the rooms have to be used at one time. Particularly the main room doesn't have to be used as the main programme stream. The 50 seater Knighton Suite would be great for most typical panel items.
After discussion it was decided that we would book The Stage for the 20th-22nd July 2007. Ideally the price will be less than £3000 but Teledu is willing to pay that for the hotel.
[edit] Tea & Cake
Whilst cake was being eaten and tea drunk, various ideas for programme ideas where knocked about.
[edit] Next Meeting
The next meeting will be on the 9th September 2006. The first choice of venue for the meeting is the hotel itself but this will depend on what events the hotel has on that day. Second choice will be at Chris' place in Nottingham.
[edit] Agenda
[edit] Officers Meeting
Jess, Meike and Chris need to discuss some stuff
[edit] General Chat

????
[edit] Teledu people who will be there
Kay - depending on location
Claire & Mark - depending where it is and how quickly we find out
DougS - Will be there.
Dop - Aargh! This clashes with Hazel's barbecue.
Graham - same as Dop, Damn Damn Damn....
Ian & Kathy (yes, Kathy!)
Meike - very probably
watervole Judith Proctor - I might be there. I'll probably decide at the last moment depending on whether I can find anything else to do in London to justify the trip. {I'll add you to the directions filter anyway, so you can see where you're going if you do decide at the last minute to go! - Darth Tigger}
Jim - I've heard there may be cake.
[edit] Apologies for absence
John Coxon - It clashes with both the Manchester and Leeds University open days, so I won't be able to be there.
beermat - Alas am already booked to be playing Munchkin and other sillyness in Worcester, so I won't be able to be there.
Max & Tobes - Can't justify the expense of the travel.
Darth Tigger - unfortunately I can't make it as I couldn't easily swap shifts at work.
[edit] Social
I'm guessing there will be a pub involved.
[edit] Children
Are welcome. If I've managed to get rid of many boxes of books in time they can play in the spare room, otherwise they'll be able to play in the hall. I have Lego, wooden bricks, and a game where you topple pengiuns off an iceberg. However you may like to bring toys, colouring books, pens etc. Also I tend not to have anything to drink apart from tea, coffee and water, so if your child(ren) like fizzy drinks, juice it would probably be a good idea to bring some. Large bedroom available if child(ren) is of small and sleeping type. There's no outside for playing (currently a building site), but there is a small park at the top of the road (but this seems to be populated by local children with colourful vocabularies).
[edit] Football
No longer an issue, but if anyone wants to watch Germany vs whoever there are many pubs that cater for such tastes.
[edit] Books
I have been culling books recently and have a spare room full of books that are looking for a good home. No SF, but lots of everything else: modern fiction, crime, chick lit, history, trains, stuff - so if you want to rummage and see if there's anything you can offer a good home to please do.
