[edit] Productive Meetings plus visits to four hotels with two strong potential venues

Thanks to everyone who came and especially to the London crowd who have done a lot of traveling over the weekend.

[edit] Officers Meet

General discussion on how the Officers are going to coordinate themselves and some time spent discussing and filling out forms for a bank account. Chris needs to draw up constitution or a charter to give to the bank. Meike to get a rough budget in place and Jess to draw up a membership form.

Good discussion on what we need to do before this year's Eastercon. The consensus was that we must continue our forward momentum and be able to take memberships by Eastercon. Ideally we will have a hotel booked but failing that we will take provisional memberships. Jess will liaise with Noel over a sales table. James to liaise with ZZ9 / Sproutlore / Convival about possible joint parties or other combined promotional events. Merchandise was discussed and the general view that Cafe Press did shit t-shirts and that it was just as easy to have a batch printed up by someone decent. The Wiki and LJ will make it easier to judge the demand and get enough of each size to fit people. Jim volunteered to organise this and James was going to speak to Anne Stokes about badges. Chris is to look into beer glass and mugs. Posters and flyers for Eastercon will be needed. Ideally every Teledu person will print and distribute 10 posters / flyers at the event. The programme and our requirements for a hotel were discussed. General agreement on a cap at 150 members requiring up to 90 bedrooms. As well as rooms for Main Programme, 2nd Programme and Ops we should seek a variety of syndicate rooms. These can be used for 24 hour videos, games rooms or programme items requiring longer time slots. How much money is to be budgeted on the programme and how that will get divided was discussed. Agreed that this was something to be highlighted on LJ and the Wiki so that people will feel able to ask for money for their programme items. How we decide who gets the money and how much was briefly discussed. What to do with any money left over after Teledu was discussed with two schools of thought emerging. 1) donate to a charity, e.g. WWF or 2) behind the bar for the dead dog party. Something to be discussed further on LJ.

[edit] Hotels

The Hilton in Nottingham Generally poor function space and too many bedrooms. Not worth considering further.

Marriott Breadsall Priory Hotel, a few miles north of Derby. Fabulous hotel, built by Charles Darwin's grandfather and father and includes Darwin's pet cemetery. The function space had a lot going for it but was slightly too small and a bit spread around. The hotel is the centre of a golf club and quite posh so some doubts about affordability and the number of mundanes that would still be around during the con.

Midland Hotel, Derby Excellent location next door to Derby train station, 10 minutes walk from Derby city centre. Very good function space and has a secluded, grass area outside the main function room that was large enough for a reasonable number of outdoor events.

Yew Lodge in Kegworth. Handy for the M1 and East Midlands Airport. Not too far from Long Eaton or Loughborough train stations. Excellent function space with one very large room that can be split into three plus 5 twenty person syndicate rooms. All grouped around a good sized bar / lounge area with leather sofas. No outdoor space.

Both the Midland Hotel and the Yew Lodge have real potential as venues. Both have some issues and both have some advantages. I should be getting cost information over the next couple of weeks.

This write up is on the wiki and I encourage anyone at the meetings to update it with things I've forgotten and other details.
